Role Summary:
Contributes to a productive and efficient work environment by providing comprehensive administrative support, including meticulous management of office and breakroom supplies, effective coordination of recycling initiatives, seamless handling of mail and deliveries, and strategic cross-training with the General Affairs (GA) Administrator to ensure broad administrative coverage.
Additional Responsibilities:
- Manage all incoming and outgoing mail and packages, including daily sorting and distribution of deliveries from various carriers (UPS, FedEx, DHL, USPS), and processing shipments for domestic and international delivery.
- Maintain comprehensive inventory and oversee ordering/restocking of all office and breakroom supplies, ensuring timely distribution to employees..
- Monitor building maintenance issues and proactively escalate concerns to building management for timely resolution.
- Coordinate weekly recycling collection and ensure adherence to vendor pickup schedules, contributing to sustainability efforts.
- Process departmental invoices timely for approval and payment.
- Provide professional reception desk coverage during daily breaks and vacation periods.
- Achieve full cross-training with the General Affairs (GA) Administrator to provide comprehensive administrative support. This includes, but is not limited to: organizing meetings, maintaining calendars, assisting with travel arrangements and lunch orders, greeting visitors, assisting callers, and directing inquiries.
- Offer administrative assistance to North America (NA) field offices as needed.
- Undertake special projects and tasks as assigned by management.

Function Specific Required Skills and Competencies:
- General knowledge of Google Workspace (Gmail, Sheets, Docs).
- Working knowledge of UPS WorldShip online program.
- Experience with postage meter machines preferred.
- Must be able to walk, stand, bend, and lift up to 50 lbs.
- Valid driver's license with good driving record required.
Required Minimum Years Experience:
A minimum of one year of experience in an administrative support role is required.
Required Minimum Education:
High School Diploma or GED
