Role Summary:

This pivotal role will oversee the comprehensive administrative operations across the entire organization, ensuring optimal efficiency and resource allocation. The Manager, General Affairs will play a critical role in managing our physical office spaces, supporting executive leadership, and driving strategic administrative initiatives.

Key Responsibilities:
  • Direct and optimize administrative activities across the organization, ensuring efficient and economical use of staff, equipment, supplies, and other resources.
  • Manage the day-to-day operations of diverse office services, including office supplies, administrative assistance, mail and messenger services, records management, cleaning and maintenance, and facilities management.
  • Research, evaluate, and recommend cost-effective purchases of office supplies and equipment to meet organizational requirements.
  • Select and manage relationships with all administrative service suppliers, ensuring high service standards and value.
  • Maintain accurate, organized, and up-to-date contract records for all administrative services.
  • Oversee all facilities management functions across the organization's offices, including planning, prioritizing, and managing maintenance activities to ensure safe, functional, and productive work environments with minimal business disruption.
  • Serve as the primary liaison with landlords for all office locations, ensuring effective communication and issue resolution.
  • Actively participate in lease renewals and negotiations for all organizational offices, working closely with legal and finance teams to secure favorable terms.
  • Contribute to long-term space planning initiatives, evaluating current and future office space needs based on organizational strategy and growth projections.
  • Assist with special and strategic projects, demonstrating discretion and independent judgment.
  • Handle highly confidential information with utmost discretion and confidentiality at all times.
  • May supervise or provide work direction to other administrative staff, fostering a collaborative and efficient team environment.

Core Required Skills and Competencies:
  • Exceptional Organizational Skills: You'll need meticulous attention to detail and accuracy to manage complex administrative and facilities operations across multiple offices.
  • Adaptability & Prioritization: Proven ability to adapt quickly to change and effectively prioritize tasks to maintain peak performance in a dynamic environment.
  • Reliability & Proactive Follow-Through: Highly reliable and proactive, consistently delivering results through prompt communication and diligent follow-through on all responsibilities.
  • Strong Communication & Interpersonal Skills: Excellent verbal and written communication skills are essential for effective liaison with landlords, vendors, and internal stakeholders, coupled with strong interpersonal skills for building collaborative relationships.

Function Specific Required Skills and Competencies:
  • Facilities & Lease Management: Expertise in overseeing multi-office facilities operations, including maintenance, vendor management, and active involvement in lease negotiations and landlord relations.
  • Administrative Operations: Proven ability to manage diverse office services, optimize resource utilization, and implement efficient administrative processes.
  • Contract & Vendor Management: Strong skills in selecting, negotiating with, and managing service providers and their contracts for administrative and facilities needs.
  • Budgeting & Cost Control: Demonstrated ability to manage budgets, identify cost-saving opportunities, and control expenses related to general affairs.
  • Strategic Planning Support: Experience contributing to long-term space planning and other strategic administrative initiatives.
  • Problem-Solving & Project Management: Capacity to effectively resolve operational issues and manage various administrative or facilities-related projects.
  • Executive Support & Confidentiality: Proven ability to provide high-level, confidential administrative support to senior leadership.
  • Proficiency in Google Workspace: Gmail, Sheets, Docs, Slides

Required Minimum Years Experience:

A minimum of five years of experience in an administrative management role is required.

Required Minimum Education:

College Degree preferred
